Healthy Planet is looking for an enthusiastic, organized and passionate Office Manager to join our Corporate Family! The ideal candidate will be Donna to our Harvey - providing administrative support across the organization and acting as an integral part of our team's day to day operations.


Job Duties:

  • Welcome and greet guests who visit the office in a friendly and professional manager

  • Respond to telephone, e-mail, and in-person inquiries from clients, business partners, and other parties

  • Refer all inquiries to the appropriate individuals, divisions, or departments across the organization

  • Take and record telephone, e-mail, or written messages for staff members.

  • Type forms, letters, reports, and memos, as necessary

  • Receive and distribute all forms of paper correspondence

  • Support executives with various administrative tasks (such as but not limited to booking flights, organizing events, coordinating itineraries, etc.)

  • Schedule meetings and appointments

  • Organize, maintain, and coordinate office records and files in their proper locations

  • Maintain the office in a tidy and presentable manner

  • Organize office layout and order stationary and equipment

  • Ordering office supplies and keeping stock

  • In charge of preparing meetings and maintaining the boardrooms

  • In charge of the photocopier's maintenance and supplies

  • Assisting other departments as needed

  • In charge of the cleanliness of the kitchen and boardrooms and common areas

  • Responsible for preparing and submitting reports for credit card reimbursements

  • Organize office operations and procedures

  • Other duties as required

  • Work on-site


What You Bring:

  • High school diploma, or an acceptable combination of education and experience

  • Strong knowledge of Microsoft Office products, including Excel, Word, and PowerPoint

  • Superior telephone manners and strong interpersonal skills

  • Strong written and verbal skills to communicate with all levels of the organization and its executive team

  • Strong customer service orientation

  • Must maintain the confidentiality of all company and customer information and must not discuss such matters outside of Healthy Planet

  • Tact and discretion must be used in all dealings with all customers and potential customers to maintain a positive image

  • Strong time management and organizational skills required

  • Must be punctual and reliable

  • Ability to work independently and as part of a team
