Specialist, Trade Marketing Operations

The Specialist, Trade Marketing Operations is responsible for supporting Trade Marketing leaders by ensuring operational efficiency and financial accuracy in the execution of vendor marketing programs across various commodities (e.g., Ready to Wear, Accessories, Leased, Cosmetics, etc.). This role focuses on managing workflows, coordinating internal processes, and driving alignment with cross-functional teams to meet divisional sales and marketing objectives.

Key Responsibilities:

  • Manage and track COOP agreements, vendor spend allocations, accruals, and invoice reconciliation, ensuring timely and accurate reporting.
  • Maintain and oversee budget trackers, driving the accrual process and providing regular updates to Finance and leadership teams.
  • Prepare monthly financial recaps to support divisional planning and ensure consistency in expense tracking and revenue goals.
  • Coordinate workbacks and timelines to ensure smooth execution of marketing programs, including promotions, launches, and seasonal campaigns.
  • Collaborate with internal teams (Creative, Visual, CRM, Legal) to ensure all program deliverables are aligned with timelines and objectives.
  • Manage the internal vendor activations calendar, ensuring clear communication and alignment with merchant and store teams for successful execution.
  • Consolidate post-mortem insights from internal stakeholders to evaluate program effectiveness and provide recommendations for improvement.
  • Support internal approvals for marketing programs, ensuring alignment with Holt Renfrew's strategic priorities and brand standards.
  • Facilitate internal communication to align cross-functional teams on weekly, monthly, and seasonal priorities for marketing initiatives.
  • Proactively recommend and implement process improvements to streamline operations, enhance efficiency, and ensure financial accountability.

The ideal candidate:

  • Post-Secondary degree or diploma in marketing or related discipline
  • Minimum 2 years of experience - project management, events, marketing
  • Strong financial acumen with experience in managing budgets, tracking expenses, and handling accruals.
  • Exceptional organizational and project management skills, with the ability to handle multiple priorities and meet tight deadlines.
  • Proactive problem-solving abilities and a detail-oriented mindset.
  • Proven ability to collaborate with cross-functional teams in a fast-paced environment.
  • Demonstrate strength in negotiating with internal teams and vendors to ensure projects are completed within scope and on budget
  • Strong communication skills to ensure accurate information is captured on all program documents/ calendars and is cascaded to the appropriate internal/external teams.
  • Ability to work cross-functionally in a matrixed environment
